Transponder/Fob Infomation and Forms: Please Read

Dear Trailwood Maintenance Association Homeowner:

As part of an ongoing effort to provide the highest level of service to our residents and guests, the Board of Directors has selected Nordic Security Services to update the access control systems at Trailwood.

This update consists of two major changes:

1. Vehicle Entry Change:  The current laser decal and scanner system at both gates will be changed to a radio-frequency identification (RFID) transponder system.  This new system uses the same technology as The TollRoads, but the transponders will be smaller non-transferable windshield stickers.

2.  Pedestrian Gates and Pool Access Change:  The current keypad system at the pedestrian gates and key access to the pool will be changed to an electronic keyfob system.  The lock on all gates will be electronically triggered to unlock by the proximity of a keyfob similar to one you might have for your car.

The update to the access control systems will reduce unnecessary abuse of our facilities and the corresponding maintenance costs.   This technology also gives us the ability to de-activate lost keys, and track usage of our amenities to better accommodate your needs.

Installation is now underway for these two projects, and we anticipate full implementation in early 2012.  Please complete and submit your application forms on or before January 10, 2012 to Keystone Pacific Property Management.  The Key Fobs and RFID Transponders will be distributed and/or installed by Nordic Security; the distribution schedule will be included with your January 2012 billing statement.  If you have any questions, please contact Jennifer Stocks at (949) 838-3206 or by email at jstocks@keystonepacific.com.

Transponder/Fob Distribution Schedule

You will be required to pick-up your new key fobs, and have your windshield transponder installed in each vehicle on your designated distribution day at Trailwood Park.  The schedule is below.  The transponders will be installed in each vehicle by a trained Nordic representative. ALL vehicles must be present so that the transponders can be installed. 

The request forms were mailed to the community in late November.  If you need additional forms you may download them from the community website at www.trailwood.org.  Please complete and submit your forms, a copy of the DMV registration for each vehicle listed and a check payable to Trailwood Maintenance Association, for any additional fobs or transponders, to Keystone Pacific Property Management.  This will streamline the installation process. 

If you elect to hand carry your forms, please make sure that you have all the required documentation, completed forms and checkbook for any additional key fobs or transponders. 

You may only collect your key fobs and transponders on your designated distribution day, or the make-up day on January 29th .  Neighbors will not be allowed to pick up items for any other residents (i.e. you can’t pick up a key fob for your next door neighbor).  If you are not available on either of those dates, please contact Peri Kennedy, Post Commander at Trailwood, by phone at 714-573-9879 to make an appointment.

Rental Properties: In the situation where the property is a rental, the homeowner is ultimately

responsible for the key fob. Therefore, the homeowner will need to pick up the key fob and then in turn provide it to the tenant or complete the forms indicating that their tenant is authorized to pick-up the keyfob and receive a vehicle transponder for that specific address.  A Photo ID will be required.

The following distribution dates have been set, based on your street address.  The key fobs and RFID windshield transponders will be distributed at Trailwood Park, as per the Transponder and Key Fob Policies. Nordic Security will check the list of residents and verify identity (Photo ID Required) before items are issued.

IMPORTANT: Please do not throw away your keys or remove your decals until notified that the new systems are up and running.  Once ALL residents have their new key fobs and vehicle transponders, the new systems will be activated.  At that time, your existing vehicle laser decals and pool key will become inoperable.  We expect this to take place in late February 2012.

Painting and Color Palette Information

As of August 1, 2011, if a house requires touch up painting of any kind, the homeowner is required to choose a new color scheme and paint the entire house.  

Please inspect your home to see if any areas of your residence look chipped, weather-beaten, faded, stained or discolored.  If you note any of the previous conditions, it is time to repaint your entire home.  This includes gates, arbors and patio covers. 

There are a few steps you must take prior to painting, you are required to:

1) Choose from a new approved color scheme.

2) Submit an Architectural Application to Northwood Pointe.

3) Receive written approval from Northwood Pointe prior to beginning the project.

Homeowners can check out the color palette books from the Canyonwood Gatehouse or view the approved colors at Dunn-Edwards Paints, 13662 Newport Ave., Tustin, CA 92780 (714-731-4113).  The new color palettes can also be viewed online at the Dunn Edwards website.  Please note that the online color palettes can be used as a reference or starting point but will not show a perfect representation of each color.  Please visit the store to view the color chips and/or purchase a sample.

Reservation Procedure for Trailwood Park

To reserve Trailwood Park please complete the Park Reservation Form.  Once you have made your reservation a $100 deposit is required to hold the park until after it is cleaned up.  Please make checks payable to Trailwood Maintenance Association and send to Keystone Pacific Property Management, Inc. at 16845 Von Karman Ave. Suite 200, Irvine, CA. 92606.  Park reservation time slots are 9:00 am to 1:00 pm or 2 pm to 6 pm.  Bounce houses ARE allowed. If you have a bounce house Trailwood has to be named as an additional insured on the insurance from the bounce house company.

RESERVATION PROCEDURE

Submit your completed Agreement along with a $100.00 Deposit to Keystone Pacific in order to confirm your event.  Please make checks payable to Trailwood Maintenance Association.
